Martinsburg Marlins

Every family is expected to participate at each meet (home or away) in which your swimmer is competing. We understand this can be an inconvenience, however, meets are run by volunteers only. If you are unable to volunteer your time, you must find your own replacement. Your replacement can be a grandparent, nanny, babysitter, teenage child (age 14 or older) or another responsible person. Volunteer descriptions and additional details can be found in the Parent Participation Contract. Instructions on how to sign up can be found under the Meet Signup tab. We're always on the lookout for parent volunteers to help us make each season a fantastic one! We have training for Stroke and Turn Officials and Computer Operators, and we're in urgent need of dedicated individuals to take on these crucial roles. Whether you're interested in running Mini Meet crafts, helping with event planning, or helping to organize spirit wear, there's a role for everyone. Sign up sheets are available at our annual Meet and Greet in May and at our Parents Meeting the first week of practice in June. Get ready to lend a hand!

Meet Set-Up: Home Meets Only - Arrive at pool by 5:45 p.m. (enter at 6pm) to help hang signs, stage pool and computer area with the following: 

• Canopies 
• Tables and Chairs 
• Computer and Timing System 
• Pool flags
• Stop Watches and Clipboards
• Consult with the Concessions Manager to see if they need any other items for set-up

Timers: Both Home and Away Meets - Timers are responsible for operating the stopwatch to record a swimmer’s time on the timer sheet. 

• First half: Event 1-32 
• Second half: Event 33-64

Back-Up Timer: Home Meets Only - Begins the Back-up Stopwatch at the start of every event and provides finish times for another timer in the event the timer’s stopwatch fails to operate.

Runner: Home Meets Only - Report to computer table at 6:20pm. 

• Duties before the meet include: posting meet lineups along the back fence. 
• Duties during the meet include: collecting sheets from timer/officials and delivering them to the scoring table, restocking bathrooms with bathroom tissue as needed, offer complimentary water to volunteers during the meet.

Ribbons: Home and Away Meets - You are responsible for collecting printed ribbon labels from the computer table, placing them on the backs of corresponding ribbons and filing them into respective owners’ file folders. These duties can be completed poolside during the meet and is ideal for those unable to stand for long periods of time.

Concessions: Home Meets Only - Under the guidance of the Concessions Manager --you will assist with the operations of the concessions stand to include:

• Set up and Preparation 
• Stocking Items
• Selling Food and Team Gear

1st Half Volunteers: Arrive at 5:45 pm (enter at 6pm) to prepare items for sale until event 32 is complete. 

2nd Half Volunteers: Relieve 1st half volunteers during event 32 to continue operations of concessions stand and assist with area clean-up once sales conclude.

Meet Tear-Down/Clean-up: Home Meets Only - You will assist with tearing down equipment and cleaning the fenced-in pool area immediately after the meet. Duties include: 

• Removing signs 
• Emptying trash cans & replacing trash can liners 
• Policing trash from the pool area and placing it into nearby dumpsters 
• Stowing the following items in the team’s storage shed: pool flags, canopies, tables, chairs and computer equipment in pool storage shed.

Clerk of the Course: Both Home and Away Meets - Gather and arrange swimmers into their events and guide them to their lane behind the diving block. (Where applicable, not all pools will allow for this in entirety.)

Official (Starter/Referee): Home Meets Only - Starts all events at swim meets and presides over officials. Experience/training required.

Official (Stroke & Turn Judge): Home and Away Meets - Observes swimmers during official swim meets to ensure strokes and turns are performed legally. Illegal strokes, starts or turns are reported to coaches and referee and may result in the disqualification of a swimmer for the event the violation was confirmed (DQ). Officials training required.

Computer Operator: Home Meets Only - Responsible for data entry and operation of Meet Manager software to include scratches, heat/lane assignments and retrieving results from the Colorado system and printing event results. Meet Manager training on the computer is required.

Computer Assistant: Home Meets Only - Assist the Computer Operator as required. Assistant should be familiar with Meet Manager and quickly follow instruction of the Computer Operator.

Board members coordinate and facilitate meets through collaboration with coaches, officials, and volunteers to ensure the events run smoothly and efficiently per league guidelines. Please consult the Volunteer Coordinator/Vice President, Lindsey Sullivan, for concerns regarding volunteer duties or the Meet Director/President, Kirsten Ward, for concerns regarding the swim meet.
